Employers have a duty of care towards their employees whether they are using a company vehicle or their own vehicle. If employees are using their own vehicle for work purposes, the employer has a responsibility to ensure that the vehicle is fit for purpose and the employee has the necessary licence and insurance cover. Our innovative solution takes care of this adminstrative burden.
Grey Fleet Checks
Our grey fleet checks cover Tax, MOT and Insurance. Note that employees need business insurance on their policy if they are to drive their own vehicle for their employer.
How does it work?
To carry out a road tax check, all we need is the vehicle registration number, which is entered via our online portal. For MOT checks, we need the V5C document reference number for the vehicle. We can contact the employee for this. For Insurance checks, we require the employee to send us a copy of their insurance certificate via a FREEPOST service. We check the document, take a copy, and return the original to the employee.
If we find any problems with the tax, MOT or insurance, or insurance documents are not returned, then we notify the employer.
We also send out notifications when the tax, MOT or insurance are due to expire for a vehicle so the employee can take action. The MOT reminder is particularly useful to employees as currently there is no national system for sending out reminders.
Tax and MOT checks are completed within minutes of entering the data into our online portal, and are automatically rechecked.

These can be checked almost instantly through our online portal. We send reminders to the employee and employer when they are due for renewal and notify the employer if this has not been done. A complete traceable history for each vehicle is maintained.
Insurance Document Checking
Unfortunately there is no data source we can tap that can tell us electronically whether a person is covered for business use by a particular individual. Therefore we provide a FREEPOST document checking service. We can liaise directly with employees to make sure we obtain the correct documentation, check it, and take a copy for the reference of the employer.
